Before it went online

Tiệm Bánh Mật is down an alley in Phú Nhuận, run by two people: one bakes, the other works the counter and answers messages. On an ordinary day that is fine. In the run-up to a holiday, a day looks like this.

  1. 6:00Ovens on. Today's baking list is on a sheet of paper taped by the fridge, copied out of last night's messages.
  2. 8:30Facebook: 40 new messages. Half asking prices, half wanting to order for the weekend.
  3. 10:15Both of them answer the same customer. She is quoted two different prices for the same cake.
  4. 14:00Someone arrives to collect an order. Nobody can find the message. It is baked on the spot; she waits 45 minutes.
  5. 21:30Reading back through the whole day's inbox, writing collection dates into a notebook. A missed order is found the next morning, if at all.

None of that is anyone's fault. The order book is living inside a chat inbox, and a chat inbox was never built to be an order book.

Three things to solve

Duplicate orders. Two people answering in one inbox, neither seeing what the other has said. The cost is trust: a customer gets two different answers from one shop.

Missed orders. The collection date sits in a message and gets copied into a notebook at the end of the day. Every copy is a chance to lose one, and a missed order in holiday season means a party without its cake.

The baker's morning. Around two hours a day going into messages instead of the oven. In a two-person shop, that is a quarter of the working capacity.

Design decisions

Four choices shaped the whole storefront. Each had an alternative, and the reason for the one taken is the part worth reading.

Haravan, rather than Shopify or a hand-built site

The shop sells inside the city, takes cash and bank transfer, and delivers by motorbike. Haravan has cash on delivery built in, connects to the local couriers, and lets whoever is on the counter change a price or add a cake without calling anyone. Monthly fees are lower than Shopify at this size, and there is nothing to pay for an international payment gateway the shop does not use. Shopify is there for the day it wants to sell abroad.

Pick the collection day and time while ordering, not afterwards

Every kind of cake has its own lead time: a cream cake one day, a mid-autumn set two days, a corporate gift box five. The storefront hides the days it cannot make and the days the shop is closed. What a customer picks is what they get, and the shop never has to message back to say no.

Delivery fee by area, shown before the order button

Three price bands by district, and picking a district shows the fee. Customers outside the city see "the shop will confirm the fee" instead of a wrong number. More carts are abandoned at the moment the shipping cost appears than anywhere else, so it has to appear before the total, not after.

Keep the Facebook inbox, change its job

The page is still where regulars go, so the message button stays. What changes is where a conversation ends: with a link to that exact cake on the storefront, so the date and the money get settled somewhere that keeps a record. The inbox advises, the storefront records.

Deliberately skipped

A mobile app and member accounts

People buy a cake a few times a year. Nobody installs an app for that. A member account adds a sign-up step before ordering, and a two-person shop has no loyalty programme to feed it yet. Checkout works without an account; a phone number is enough, and the customer's details still sit with the order.

What was built, screen by screen

The storefront was built far enough to run one order end to end. These are the four screens that decide things, and what each one solves. The shop's customers are Vietnamese, so the storefront speaks Vietnamese.

A cake page with a collection calendar

The collection date is picked right here. Today is struck through, Monday is locked because the shop is closed, and an afternoon slot that is full is greyed out. The message to write on the cake travels with the order instead of living in a chat.

On a phone

Most of this shop's customers order from a phone, either at work or already in bed. The week calendar still shows seven days and can be worked with one thumb.

Delivery inside the city or collection from the counter, and picking a district shows the fee in the panel below. Bank transfer by QR code, or cash on delivery. The order summary on the right carries the collection date and time, because that is what the customer will check again.

Orders listed by collection day

The screen nobody shows off, and the reason the shop went online. Orders are sorted by collection day rather than order date, and counter sales land in the same list. The baker and the person on the counter open the same page, so there are no longer two versions of the truth.

How an order runs once it is live
